1Data we collect

In the course of providing brokerage and advisory services we collect:

• Company name and contact details
• Technical requirements and specifications
• Communication history
• Financial data for invoicing

2How we use data

Data is used only for:

• Providing our services
• Communicating with datacenters on your behalf
• Billing and administration
• Meeting legal obligations

3Data protection

• We implement appropriate technical and organisational measures to protect personal data.
• Access to data is restricted to authorised personnel.

4Your rights

You have the right to:

• Access your data
• Correct inaccurate data
• Have your data deleted
• Restrict processing of your data
• Data portability

5Retention periods

• Data is not stored longer than necessary for the purpose for which it was collected.
• Leads that do not convert to a client relationship are deleted after 24 months.
• Client data is retained for the duration of the relationship.
• Financial records are kept for 7 years in compliance with legal obligations.

6Analytics, cookies and logs

• This site runs no analytics and sets no cookies. There is nothing to consent to, which is why you are not asked to.
• Your browser stores one preference locally: light or dark theme. It stays on your device and we cannot read it.
• When you submit a form, your IP address is stored as a salted one-way hash, to limit abuse of the form. The address itself is not stored and the hash cannot be turned back into it.
• Our hosting provider keeps standard web server access logs, which contain IP addresses, for security and troubleshooting. We do not use them to build profiles.
• If we ever introduce analytics it will be cookieless and EU-hosted, and this section will say so before it goes live.

7GDPR compliance

• We process personal data in accordance with GDPR requirements.
• We maintain a register of processing activities.
• Data breaches are reported to the relevant authorities within 72 hours.

8Legal bases

We process personal data on one of the following bases:

• Performance of an agreement, or steps taken at your request before entering into one
• A legal obligation, in particular the statutory retention period for financial records
• Our legitimate interest in running, securing and administering our business, weighed against your interests
• Your consent, where we ask for it, which you may withdraw at any time

9What we do not process

• We do not ask for and do not process citizen service numbers, copies of identity documents, health data or any other special category of personal data.
• We do not run credit checks on individuals.
• We do not sell data and we do not use it for third-party advertising.
• We are not required to appoint a data protection officer and have not done so. Your questions are handled by Nick Aldewereld.

10Processing outside the EEA

• We choose providers established in the European Union and hosting within it wherever we can, and we run part of our infrastructure ourselves.
• Where a provider outside the European Economic Area is used, this is based on an adequacy decision of the European Commission or on the Commission's standard contractual clauses, with the additional measures required.
